FMCSA Drug & Alcohol Clearinghouse Annual Limited Queries DUE

Depending on when your company completed the Annual Drug & Alcohol Clearinghouse Query process in 2021 it may be time to complete the process again. The annual query is similar to running the required MVR on your employee each year except it provides any potential new DOT drug & alcohol violations.


Do my drivers need to be registered to run the Annual Limited Query?

No, The Annual Limited Query report only requires the current drivers to sign a written release giving the company consent to conduct the query.  If you do not have a consent form please contact us and we'll provide you with one. If your drivers signed consent in 2020 or 2021 the language of the consent covers the duration of the employment and there is no need to obtain a new release.

How do I conduct the Annual Limited Query

There are 2 ways to conduct the Annual Limited Query report once you log into your Clearinghouse account.

  1. Submit a bulk query request for all drivers via a spreadsheet, or
  2. Submit each query request individually for each driver

If you would like to conduct a bulk import, you may click & download the attached spreadsheet and the instruction sheet to help you with the process. The spreadsheet must be filled out exactly as described in the instructions to work properly and the information must be exactly as it appears on the driver's CDL. Once completed login to your Clearinghouse account and submit the bulk query.

*Remember to have enough credits in your query plan to cover the amount of drivers that you submit in your bulk import.

*If LMS is listed as your C/TPA in the D&A Clearinghouse we can assist you in the process. Update or fill out your bulk import spreadsheet with all current drivers and email it to Michel for completion.

What information will the Limited Query give me and what do I do next?

The Annual Limited Query will give you a status of either "no records found" or "records found". In the case that no records are found, no additional steps need to be taken. In the case that records are found then, you must run a Full Query report on the driver and it must be conducted within 24 hours. We suggest reaching out to us in the instance that a record is found on one of your drivers.
